The Battle Creek VA Medical Center is recruiting for a Supervisory Medical Support Assistant. The Supervisory Medical Support Assistant will function in the Health Administration Service. [ "Duties at this level include, but may not be limited to: planning and managing programs directly related to their team assignment; arranging for coverage of all areas of responsibility; distributing and balancing workload; overseeing the training and certification of employees in all Services throughout the Battle Creek VA Medical Center locations on scheduling and consult management competencies; conducting reviews/audits to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing refresher training to staff members including changes in policies and procedures; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring that all training requirements are met; and organizing the work structure of her/his assigned areas. In addition, the incumbent must demonstrate the knowledge below:\na. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.\nb. Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations.\nc. Ability to provide staff development and training, ensuring all mandatory training is completed by staff prior to the end of the fiscal year.\nd. Ability to manage staffing requirements, manages priorities, and coordinates work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work.\ne. Ability to review and monitor data to ensure all reports are complete and accurate. Supervisory MSA at the GS-8 level will be cross trained in other administrative areas of the service and may be assigned to provide coverage as required/necessary. The incumbent directly supervises 10-25 staff including GS-7 Lead MSAs, GS-6 Advanced MSAs and GS-3, GS-4, GS-5 MSAs/PSAs. Collects, analyzes data and presents findings for programs under their control, including the development and monitoring of quality indicators, through the preparation of reports and presentations for use by higher management. Provides input on resource needs including equipment and staffing. All duties assigned to the Lead MSA and team members are expected to be performed by the Supervisory MSA if staffing shortages dictate and a Lead MSA is unavailable. The incumbent performs duties related to the receipt, intake, and indexing of health and administrative information. The incumbent will interface with personal computer (PC) applications as well as numerous VistA applications. Knowledge of VHA Directives for: VHA Outpatient Scheduling Processes and Procedures, process for managing patients with impatient demand exceeds current clinic capacity, priority scheduling for outpatient medical services for service-connected Veterans and priority for outpatient medical services. Knowledge of VA regulations, Systems Redesign Principles, local Medical Center Memoranda /policies, and standard operating procedures. Knowledge of eligibility for VA medical care, priorities for care, release of information, Health Information Portability and Accountability Act (HIPAA) laws, and Community Care Program. Must have knowledge of and be able to provide information about VA revenue cycle and programs to patients regarding insurance data collection and revenue collection. The incumbent must have a solid knowledge of multiple systems and current computer technology regarding imaging applications, PC fax applications, numerous VistA applications, Microsoft Excel, or comparable spreadsheet program, Microsoft Word or comparable word processing program. The MSA Supervisor must possess skill in compiling readily available data from prescribed sources; knowledge of the organization to search records, files, or electronic databanks to locate information needed, and to verify information given. Familiarity with one or more established automated systems such as VSSC to correct and retrieve factual information. Incumbent must possess working knowledge of the clinic processes and services to function and interact with various clinics throughout the hospital. Employee must have knowledge of and ability to apply policies and procedures associated with operational activities that affect workload data. Work Schedule: Monday thru Friday, 8:00am-4:30pm. Hours may be extended or rotated based on the needs of our Veterans or Medical Center.\nFinancial Disclosure Report: Not required" ]
