This position has known promotion potential. The duties listed represent the full performance level GS-8. As an entry level GS-7 Secretary - Office Automation (OA), you will function in a developmental capacity, leading to the full performance level. The incumbent will serve as Secretary to the Associate Director for Patient Care Services, who is responsible for the effective and efficient management of the nursing activities of the Medical Center. THIS IS A NON-BARGAINING POSITION. [ "TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. IT IS A REQUIREMENT YOUR TYPING PROFICIENCY MUST BE DOCUMENTED ON YOUR RESUME. Receiving and screening all telephone calls and members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public to the executive offices of the ADPCS and takes action and/or directs contacts as appropriate. Processing incoming and outgoing materials such as correspondence, reports, memorandum, and other forms of written communication. Incumbent maintains a file of correspondence and events of significance and, upon return, brings such matters to the attention of the ADPCS. Screening all publications, directives, and periodicals, and bringing those of significance to the supervisor's attention. In the supervisor's absence, maintains a file of correspondence and events of which the supervisor should know and, upon the supervisor's return, brings such matters to the supervisor's attention. Scheduling appointments, coordinating meetings, and/or scheduling conferences and meetings, arranging for administrative details, or following up on action items with appropriate staff members independently. Taking dictation from the ADPCS and transcribing notes into proper format for various forms of correspondence and performs follow-up when further action is indicated. Edits and compose letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquires. Tracking final policies surrounding the Nurse Executive Board and Organizational Health Board. Initiating and tracking Medical Center Policy drafts for review and approval. Uses knowledge of guidelines when proofing policies and procedures that are submitted by other services or concurrence by the ADPCS that impact Nursing Staff and clinical care areas. Establishes and maintains appropriate records and files and serves as the primary Records Liaison Officer for the ADPCS office and provides guidance and support to other RLO's within the ADPCS service line. Primary timekeeper for ADPCS Office and Chaplain Service. Provide back-up timekeeping duties as identified. Performing work involving the collection, compilation, and/or tracking of data and statistical information in support of the Health Systems Specialist, Office of the ADPCS. Assists the ADPCS and HSS in planning, reviewing, and reporting of data/statistical results of program and clinical reviews. Establishes protocols for incoming data, organizes written and computerized data and retrieves data. Performs an analysis of the data and generates a variety of reports. Sources of data include but not limited to: VSSC, AcuStaf, VATAS, EDIS, SAIL reports. Serving as either the Primary or Back-up clerical support to the Nurse Professional Standards Board (NPSB). Involves tracking and preparation of documents for board reviews, coordinating signatures and submitting for final signature to the ADPCS, and coordinating with all services who have nursing staff to track and complete proficiency timeliness reports to the NEB.
